Preparing Your Trial Balance for Year-End Fieldwork

What a clean trial balance pack looks like when auditors arrive for substantive testing after the books are closed.

A usable trial balance is more than a list of account codes and amounts. Auditors need a mapping to the financial statement line items, the prior-year comparative, and a short note on accounts that moved more than a defined threshold.

Supporting schedules should tie without reconciling plugs. Bank reconciliations, aged receivables, inventory summaries by location, and fixed asset rolls are the usual first requests. If a schedule does not agree to the trial balance, the difference should be explained before the visit, not discovered on day one.

For companies with multiple warehouses in Japan, inventory count instructions deserve early attention. Count teams need floor plans, cut-off rules for goods in transit, and a list of slow-moving lots. Observing a well-run count is far easier than reconstructing stock after the fact.

Finally, keep a contact list for bank confirmations, legal counsel, and significant customers. Confirmation delays remain one of the most common reasons report issuance slips past the board's preferred date.
